Who we are
RingWise is a small business run by Torin Ford, a sole proprietor in British Columbia, Canada. We run a missed-call text-back service for other businesses (our "clients"). When someone calls a client and the call isn't answered, our system can text that person back so they get help faster.
Our role: the client is responsible for the personal information of the people who call it and decides what to do with it. RingWise is its service provider and handles that information on the client's instructions to run the service. We also answer privacy questions directly.
Privacy contact: Torin Ford, RingWise, contact@ringwise.ca.
If you called one of our clients
If you called a business that uses RingWise and they couldn't answer, we may send you a text on that business's behalf. We only text people who just called that business, and we only send replies in that conversation and the business owner's booking, decline or call-back messages to you. We don't send marketing texts. In some cases, such as when the caller ID can't be verified, we don't text at all. You can stop texts at any time by replying STOP.
What we collect:
- your phone number and the time of your call;
- the content of your text messages (for example your name, address or area, what you need, how urgent it is and when you're free), and any photos you send, which are stored by our phone provider;
- the replies our system sends, a short summary of your request, and the full conversation transcript;
- the business owner's booking actions, such as confirming, declining or arranging a call back.
Why: to pass your request to the business you called so they can follow up, to keep a record of it for them, and to run, secure, troubleshoot and report on the service. We don't use it for anything else.
Automated assistant: the texts you get are written by an automated (AI) assistant on behalf of that business, and the first text says so. It never claims to be a person. The business decides whether to take the job and confirms any booking.
Please don't send payment card numbers or other sensitive details by text. If you do, ask us to delete them.
If your business uses RingWise
We collect your business name, contact details, the phone numbers where you receive updates, and your service settings. We use them to set up and run the service for you, support you and bill you.
Who processes the information
We use these service providers to run RingWise:
- Twilio: phone calls, text messages, and logs of calls and messages.
- Anthropic: the AI (Claude) that writes the text replies. Your messages are sent to it to create each reply.
- Google: a Google Workspace spreadsheet where each business's leads and conversation transcripts are recorded.
These providers store and process information in the United States, where it can be accessed by US courts, law enforcement and national security authorities under US law. We don't sell personal information, share it for marketing, or use one client's customer information for another client.
How long we keep it
Text messages, call records and media at our phone provider are automatically deleted after 90 days. Spreadsheet rows, including conversation transcripts, are automatically deleted after 12 months. You can also ask us to delete your information sooner (see "Your rights"), and we will unless the law requires us to keep it.
How we protect it
We limit access to the people who need it to run the service, keep our account credentials private, and don't make customer information public. No system is perfectly secure. If a breach affects your information and creates a real risk of significant harm, we will tell the client, and we or the client will notify you and the Privacy Commissioner as the law requires.

If you have a complaint, please contact us first. If you're not satisfied, you can contact the Office of the Information and Privacy Commissioner for British Columbia or the Office of the Privacy Commissioner of Canada.
